Location:           Canada, Toronto, in office 5 days / week

Purpose of the Role: 

This is a dual-function role, with responsibilities split approximately 2/3 Marketing Coordinator and 1/3 Office Coordinator.

The Marketing Coordinator role is an important link between Office Administration, Marketing, Business Development (BD) and the roles and tasks are fluent and flexible to meet the company’s requirements. The Marketing Coordinator will support the Senior Business Development team in expanding the presence of Dr. Sauer & Partners in the USA and Canada by providing tailored marketing support for identifying and pursuing opportunities and expanding the reach of the company.

In the Office Coordinator capacity, the role will ensure the smooth and efficient operation of the office by supporting administrative functions, coordinating internal processes, and assisting with general office management tasks.

Job Description:

Marketing Coordinator Role:

  • Collaboration with the Head of Marketing in the London (UK) Office.
  • Supporting ad co-ordinating the full range of Business to Business (B2B) marketing activities in North America.

  • Managing the booking of media advertisements and running the media plan for North America.
  • Collecting, writing and proofreading marketing materials such as articles, project and service descriptions for promotional literature, and the company website.
  • Project research for supporting the market awareness of the Business Development team.
  • Supporting the development and production of printed and other marketing materials such as:
    • Capability statements
    • Company profile
    • Product folders
    • Project Sheets
  • Managing and organisation of marketing and company events, exhibitions, lunch & learns, and industry conferences in USA and Canada. 
  • Supporting and proofreading proposals and RFQ/RFP responses.
  • Maintenance and development of the company’s project database systems for:
    • Project references / Project sheets
    • Staff CVs
    • CRM entries
    • Innovation Hub
    • Images and Photos

Office Coordinator Role:

  • Filing, sorting, and archiving documents in accordance with company procedures.
  • Performing high-volume photocopying, scanning, and printing tasks accurately and efficiently.
  • Assisting with document control, including version tracking and record retention.

  • Supporting staff with data entry and basic record updates.
  • Providing general administrative office support in the day-to-day operations of the office to ensure a smooth and efficient working environment
  • Support the Human Resources / Office Manager with local HR and office tasks.
     

Other:

  • Performing other marketing and administrative tasks as assigned by management.

Required Skills & Expertise:

  • Knowledge in marketing, organisational, administration, representation, communication tasks.
  • Solid understanding of marketing principles, especially in Business-to-Business marketing.
  • Excellent English writing skills and the ability to communicate complex ideas.
  • Working knowledge of production of both print and digital media.
  • Database update, management and maintenance.
  • Effective project management and strong prioritisation skills.
  • Exceptional command of the English language, both written and spoken.
  • French knowledge is a benefit.
  • Creativity.
  • Good team working.
  • Interest in transit infrastructure and heavy civil design and construction processes. 
     

Key Qualifications: 

  • A degree in marketing is not esssential but an advantage.

  • Experience with QuickBooks Online is considered an asset but is not required.

  • Valid Passport and visa status to work in Canada and travel to USA and Europe. 

  • Computer proficient with Microsoft Office and HCL Notes.

  • Solid Adobe InDesign, Adobe Photoshop, and Acrobat, BlueBeam knowledge.
  • Solid knowledge of Content Management Systems and Customer Relationship Management Sytems (CRM).
